Click on Notification sound and vibration, under Ringtone & Vibration. We can select the tone from the default sounds on our phone. If you need to set some other tune on your choice, click on Ringtone from internal storage and select the tune. Now when you get notified from Teams, you will receive with the sound that you have set. Note: You will only find the Microsoft Teams Volume Bar in the Volume Mixer interface if you are already on a call on Teams. Muting Teams Notifications For Ending Interruptions During Calls. Mentions
Mentions, or @mentions, work in two ways. You can either notify your entire team by typing the name of the team in the channel (example: @marketing) or you can mention the name of a specific individual (example: @noah).
It's important to know that when you @mention someone directly in a channel, the entire team can read the message. A Microsoft Teams desktop taskbar notification will only pop up for the @mentioned person. To further assist, the message will also be highlighted with a red icon next to it in both the Teams vertical taskbar, as well as in the channel flow discussion. A red circle with a number in it appears next to the channel name. As an added benefit, especially for users still learning the ropes, the pop up appears even if your Teams app is not open.
Messages
Microsoft Teams is a messaging platform first and foremost, and so it obviously allows for customization of chat notifications. Because this centralized communication software is designed to reduce clutter and noise, each team gets their own general channel, which means others do not have to read internal departmental communications. But, like any other messaging platform, you can message others privately, or create your own groups. You can choose to receive or disable notifications. Choose whether to enable Microsoft Teams' notifications for conversations you've previously replied to, or which you are a member. And just like Facebook, you can ‘react and like' messages.
Other Notifications
These notifications are not related to messages, chats, comments, or tasks. To explain this better, let me start by expanding on the two ‘roles' that exist within Teams:
- Owner: Team owners who manage certain settings for the team. They add and remove members, add guests, change team settings, and handle administrative tasks. There can be multiple owners in a team.
- Member: Members are the people in the team. They talk with other team members in conversations and can view and usually upload and change files. Also, they do the usual sorts of collaboration that the team owners have permitted.
- Guests: Guests are people from outside of your organization that a team owner invites, such as partners or consultants to join the team. They have fewer capabilities than team members or team owners, but there's still a lot they can do.
Manage Notification Settings
Banners
Banner notifications are larger notifications which appear in the corner of your screen whenever you're mentioned individually or as a team in any channel/group. You'll also get a banner notification when someone messages you personally. As stated, you can always change the conditions for this notification.
Banner and Email
Microsoft Teams notifications can also be sent to your inbox alongside a banner notification, ensuring you're alerted on all fronts. You can configure Teams to send scheduled emails for your notifications, the frequency can be adjusted as follows:
- As soon as possible
- Once every 10 mins
- Once every hour (default)
- Once every 8 hours
- Daily
- Off
Speaking of email, if you're either ‘old school' and/or email is just your preference, you can send someone an email from Teams. Simply hover over their profile picture until their contact card appears. Click the envelope icon at the bottom left of the card to send an email.

In Feed
Alerts can also appear in your feed, this is a section that displays all previous and new notifications.
Sounds
You enable auditory Microsoft Teams desktop notifications, and you'll be able to select from three options:
- All – you'll be alerted via sound for all messages, from all channels you're part of, whether you're mentioned or not (we recommend not selecting this to reduce clutter)
- Call, mention and chat – notifications will only appear when you're called, someone private messages you, or when you're mentioned
- Off – this will disable all sound notifications

- Mention is simply within reach of an @
- Set to Do Not Disturb to prevent notifications or calls popping up. A super simple way to do this? Type /dnd in the search box at the top of your screen

Here's a question of my own: i was recently added to multiple Teams channels and found myself receiving desktop notifications (some of them playing sounds) not only when i receive a chat message from a colleague but when someone joins the channel and so forth. Any ideas on how i can turn off desktop messages in Teams or at least minimize the ongoing amount of notifications?
Thanks Dorothy for your message. When joining a new collaboration platform, it's helpful to balance between being up to date and staying productive and focused. In this quick tutorial we would like to help our readers to define their notification settings in Microsoft Teams, so they fit their preferences and help them stay productive. You might want to experiment with your Teams notifications as needed, as you can always revert back to the original alert settings.
Turning off Microsoft Teams pop-ups alerts
Here's how to hide banner desktop alerts in Teams:
- Open Microsoft Teams desktop or web client.
- Hit your user icon, located in the right hands side of your upper Teams bar.
- Then hit Settings.
- From the left hands side of your Settings dialog, select Notifications.
- Then hit the Custom button.
- Now go ahead and set your custom alert settings for Messages (incl Chat), people mentioning you in a personal / private chat or channels, information posted into your Teams feed
- Note that for each setting you can typically choose from these options: Be notified by Banner and Email, by Banner only or not at all.
- As an example, here are the settings i use to minimize pop up banner messaging from Teams:
- Next, use the Edit button in the Meetings and People sections, to control meeting reminders alerts and follow other people appearance status (if needed).
Turn off Teams sounds
If you would like to disable sounds, the process is also straightforward:
- Open the Team Settings dialog.
- Hit Notifications.
- Then in the Appearance and sound section, turn off the Pay sound for notifications slider.
If you are using an older Team version, the dialog looks a bit different; so you'll need to disable sounds a bit differently: Excel merge columns without losing data. Skype to teams migration docs.
- In the Other section, set your notification sounds as shown below:
- Select the Off option.
Stop Channel Notifications
In case you are a team/channel owner you are able to easily control the amount of notifications from the channel. This is specially useful in case you have a busy channel that is constantly broadcasting messages to its members.
- In the Teams app, navigate to your specific channel.
- Hit the More options to access the Channel Notifications.
- Stop all messages by hitting the Off option.
- Alternatively, use the Custom option to define your alert settings for new channel posts and replies and @mentions
Turning off messages when in a meeting
A couple of folks asked whether there is a possibility to hide notifications from Teams during certain periods, say during important meetings.
There is still no perfect solution for that, but a couple of workarounds,
Method 1:
A very much required setting is now available to suppress message previews. This is a powerful feature that works on the different clients you might be using (Desktop, ioS, Android etc').
- Hit your Teams avatar.
- Then hit Settings.
- Then hit Notifications.
- Deactivate the Show message preview by sliding the button to the left (as shown above).

Method 2:
Set your status in Teams to Do Not Disturb, and that will suppress notifications that are not urgent or coming from your priority contacts.
You can set your status to DRD either by clicking your teams Avatar and then set the status; or simply by typing /drd in the upper panel search bar.

Turn off notifications on Android
- Open the Microsoft Teams application on your Android phone.
- Click on the Menu icon on the top left of the Teams application.
- Click onSettings.
- Select Notificationsand hittheGeneral activity button.
- Here's where you manage your notifications settings. For example, we have options to mute Calls, Chats, Meetings if required
- If you do not require any notifications from Microsoft Teams, go ahead and turn off the Show Notifications slider.
